Import orders
Turn customer purchase-order or sales-order files into Draft orders, then review the extracted information before fulfillment. A single file can contain several purchase orders; the import groups their lines into separate orders.
Prepare the files
Use readable customer documents, including the customer identity, purchase-order number, item descriptions, quantities, addresses, and terms where available. Upload at least one file. A batch accepts at most 20 attachments; a file with a reported size above 50 MiB is rejected.
Extraction can leave customer or product matches unresolved. Importing does not confirm an order, and a completed batch can contain failures or skipped duplicates.
Import and inspect
- Open Sales → Sales Pipeline → Orders and choose Bulk Import Orders.
- In Bulk Upload Sales Orders, add the files under Upload Customer PO or Sales Order. Check the attachment names before proceeding.
- Choose Initiate bulk creation.
- Return to Orders and account for each purchase order in the source files. Compare the customer and purchase-order reference with the orders present; a submitted batch alone does not establish that every order was created.
- Find the created Draft orders in Orders. Compare the customer, purchase-order number, item matches, variants, packaging, quantity, price, addresses, and terms with each source document.
- Use Update an order to resolve missing or incorrect values. Recheck the calculated totals after correcting customer and product selections. Confirm an order only after this review.
Account for a partial result
If you are reviewing an import report, interpret its outcomes as follows. The visible orders remain the check for which Drafts were saved.
| Outcome | What to check |
|---|---|
| Created | Review the Draft order against its source purchase order. |
| Skipped | Look for the existing order identified by the result before creating another. |
| Failed | Read the affected file or purchase-order result, correct the source problem, and check which orders already exist before retrying. |
Orders already created are not rolled back simply because another file fails. For example, a batch with two created orders and one failed purchase order still needs that failed case resolved even if its overall status is Completed.
The import record explanation explains the receipt and status limits. Continue with confirming an order only after its details are complete.
